POSITION SUMMARY
The position of Payroll Controller exists to ensure the smooth processing and management of all payroll and employee related costs. The Payroll Controller is responsible for liaising with four payroll outsourced providers – one each in UK, France, Spain and Algeria. They will be expected to work closely with and support the other members of the Finance team for management accounts and forecasting as well as the wider Easyfairs UK & Global team providing a service for all employee costs throughout the division.
The Payroll Controller will be responsible for all processing and accounting of payroll and employee expenses, managing the balance sheet for these areas, HMRC account management, providing variance analysis for management accounts and data for the preparation of budgets/forecasts.
KEY RESPONSIBILITIES (include but are not limited to)
- Preparation of all data for submission to outsource payroll providers in line with necessary timeframes, including commission calculations, timesheet calculations, holiday pay, SMP/SPP days, starters/leavers, payrises, etc.
- Processing of bank transfers for employee payroll/expenses payments.
- Preparation and posting of salary journals including necessary analysis coding.
- Management of employee loan account and salary advances.
- Answering employee queries about their payslips, calculations, etc.
- Distributing payslips, P45s, P60s, etc as necessary.
- Preparation and distribution of P11Ds.
- Management of relationships with HMRC (or country equivalents) including timely payments, resolution of queries and maintenance of account.
- Collaboration with HR department on starters/leavers, payrises, bonus payments and any other ad hoc reporting or requirements.
- Calculation and posting of monthly bonus provision and reconciliation of control account.
- Calculation and posting of monthly commission deferrals/releases and reconciliation of control account.
- Management of pension joiners and payments and support of employees regarding pensions
- Reconciliation and management of balance sheet controls for PAYE/withholding tax, Social Security, Staff Loans, Pensions, etc.
- Monthly analysis of variances compared to budget/forecast by employee, department and company.
- Preparation of data for budgeting or forecasting of employee related costs.
- Processing of employee expenses through Spendesk including review of claims, weekly journal posting and payment processing, management of balances held and reconciliation of control accounts.
- Supporting the AP team with the processing of vendor invoices and payments as required.
- Development and improvement of Payroll processes and integrating employee data across functions.
CAREER DEVELOPMENT
This position will work across the finance department working closely on management account production, balance sheet control and budgeting/forecasting as well as liaising with HR.
The position will have the opportunity to play a key role in system development, acquisitions and integrations as well as on going reporting developments with potential to gain experience of the wider finance function of AP and AR management.

PERSON PROFILE
While a formal qualification is not required, the ideal person for this position would have payroll experience, preferably with experience in accounting for employee costs and associated balance sheet accounts too. Experience of managing an out-sourced payroll provider would be beneficial as would experience of payroll services in Spain and France.
The ideal person will be able to demonstrate a strong skillset of process driven payroll management, financial control, customer service, effective time management and ability to manage improvement changes. Strong spreadsheet skills are essential as is experience of Financial Systems (experience of Navision in particular would be an advantage). This is a demanding role and requires someone who can work autonomously, can manage their time and prioritise effectively. The successful candidate is likely to present themselves as being well organised, self-motivated, dedicated, meticulous and conscientious. This person needs to be professional, willing to accept responsibility, be driven by a “right first time” attitude and a desire to deliver outstanding customer service and see themselves as an integral part of the finance
